PMS — Property Management & Maintenance

One system for real estate: the property tree, units, tenants, lease contracts, collections and maintenance work orders.

The problem

Property companies often run leases in spreadsheets, collections in another tool, and maintenance by phone. Nothing connects a unit to its contract, its payments and its repairs, so it is hard to know what is rented, what is owed and what is broken.

What I did

  • Turned the business requirements into module-by-module specs, then built and reviewed the system against them.
  • Built the property tree, where units are added only at the last level under their property.
  • Built lease contracts as a step-by-step wizard: parties, units, periods, financials, terms and review.
  • Built installments, receipts and contract printing, plus owners, tenants and services.
  • Built maintenance work orders, user permissions and an audit trail.

The hard part: The contract total and the installments must always match.

A lease is more than rent. It has VAT, insurance, admin fees and government fees, split into installments over the contract period. If the installments are generated before all the amounts are known, the schedule and the contract total stop matching — and the tenant is billed the wrong amount.

So the financial step comes first, every charge is included in the total, and the installment schedule is built from that full total. The printed contract and receipts read from the same numbers.
